I think we’d all agree that effective employee training is crucial to business success.

As with all areas of your business, effective training requires effective and strategic planning. Here, we’ll be looking at the key elements of various employee training plans — and discussing all that goes into creating templates for all training occasions.

What is an Employee Training Plan?

An employee training plan is a document that describes a training initiative in clear detail.

While individual plans vary in scope, all plans typically explain:

  • The purpose and goals of the initiative
  • Who is involved, and in what capacity
  • How the training will proceed

Training plans can be created for individual employees, specific segments of your team, or for your entire organization to take part in. Plans can apply to short-term (and even one-off) training initiatives, or to more long-term training campaigns.

On that note, let’s take a look at the key elements all employee training plans should include regardless of other variables.

Objectives and Rationale

All training plans should explicitly state the purpose of the initiative, in terms of both the trainee and the company as a whole.

This purpose should be backed by clear rationale, connecting the trainee’s efforts to their future performance — and, in turn, connecting their growth to overall business growth.

Targeted KPIs & Measurement Methods

Employee training plans should also define key performance indicators as a way of measuring performance and success.

You’ll also define overarching business KPIs, again connecting employee and team performance to changes in your bottom line.

Audience and Stakeholders

Training templates should identify all parties involved in the campaign — and define the specific role each party will play in the process.

This includes:

  • The learner(s)
  • The trainer(s)
  • The project managers/leaders
  • The executive stakeholders

You might include additional info as to how these roles relate to one another, too. Defining dependencies between trainer and trainee, for example, will help streamline the experience for both parties.

Timeline and Scheduling

All employee training templates should provide a timeline for the initiative in question.

Depending on the circumstances, this timeline might define:

  • Schedules for training phases
  • Deadlines for performance milestones
  • Dates for manager check-ins

Training Methods and Procedures

This is the “meat and potatoes” of the employee training template.

The first part of this section will define the training method(s) you’ll be using throughout the campaign.

A few examples here:

  • Instructor-led training
  • Mentoring and coaching
  • Simulation and role-playing

You’ll then provide a detailed description of the learning curriculum, along with checklists and other materials to guide the project forward.

  • Define key performance indicators and other success metrics
  • Define business case for training
  • Define the best training format and method for the situation

  • The knowledge and skills they’ll need to attain these goals

An effective employee onboarding process starts with a solid plan.

Onboarding templates will include information such as:

As you tweak these training templates to fit your needs, make sure you follow these best practices.

Create Templates for High-Priority Training Purposes

Over time, your goal is to have a template prepared for every possible type of employee training you put on.

But, if you’re just starting to create your template library, you’ll want to prioritize certain types of training templates based on your current situation.

Some factors to consider:

  • The impact the training initiative will have on employee, team, and business performance
  • How frequently the training takes place within your organization
  • How standard (or varied) the training sessions need to be

Again, this all depends on where things currently stand for your company. If, for example, you’re bringing new hires on rapidly and routinely, you’d need to be confident that your onboarding plan is seamless and effective.

(Conversely, if you’re in the midst of a hiring freeze, you can put your onboarding template to the backburner while you focus on more relevant training initiatives.)

Get Input From All Stakeholders

Everyone that’s involved in the training in question should also be involved in the creation of the training template.

  • Trainers/Facilitators
  • Trainees/Learners (current and former)
  • Performance Assessors
  • Executive team members

Trainers, leaders, and other decision-makers will of course be in charge of developing the templates — whether from scratch or via tweaking a publicly-available document. Communicate Context Within Your Training Plan Templates

Going along with the above, your employee training templates should allow for contextualization of all relevant info.

In other words, it needs to be crystal clear why the information presented in the document is relevant to the situation at hand.

As we’ve discussed, your training plans should always explain:

  • What the training entails
  • What your performance and business goals are
  • Why training, specifically, is what’s needed to attain these goals

This will give your stakeholders a more holistic, “real-world” understanding of your upcoming training sessions.

Make Data-Driven Improvements to Your Training Plan Templates

Okay, so the whole reason you’re creating these templates is to use them repeatedly, making relatively minimal changes with each use.

But, you never want to think of these templates as being completely set in stone.

Rather, you should always be looking for ways to improve upon the training templates that are already working wonders for your organization.

(In some cases, improving your templates may be the necessary step toward improving your team’s training-related efforts altogether.)

At the center of these improvement efforts:

This may include:

  • Training performance outcomes
  • Stakeholder feedback
  • Changes in trainee and business performance

You never want to make concrete changes to your employee training templates without concrete evidence and rationale to back them up. Building intentional data analysis into your template development processes ensures you always take this step — and ensures you never adjust your templates based on anything less than the facts.

But there’s a big difference between an average staff training and development plan and one that will actually work.

Creating effective training is not easy, but with the right plan, execution, and follow-through, you can build eLearning that truly is a valuable asset to your business.

1. Identify clear, specific goals

Somehow, when managers and HR professionals create a new employee training plan, they often neglect the important task of identifying and communicating the specific goal. They may create broad, vague, or even unstated goals, such as “ we want smarter and better employees ,” but this doesn’t directly help the company, nor does it identify the purpose of training.

You can start by identifying the business objectives. Whether it’s to increase productivity, improve sales conversion rates, or reduce expenses , knowing the business objectives can help you mold the goal of training.

A good training plan will make your employees more efficient, productive, and engaged, but sometimes it’s hard to figure out the best way to actually create a plan that’s effective and thorough. That’s why we’ve broken down the whole process step-by-step for you, from establishing your goals to outlining the structure of your plan to creating the actual lessons. Use the steps below to create a training plan that really works for your business and gets your employees where you need them to be.

Establishing Your Training Goals

  • If your company has a mission or vision statement, use that to guide you as you develop your training goals. You want the training goals to be compatible with the overall objectives of your company.
  • Be aware of what you want to accomplish. For instance, the purpose of the training may be to prepare employees for emergencies, improve business offerings or protect the privacy of clients.

Step 2 Identify the benefits for trainees.

  • Outline the skills, information, and certifications that participants will gain by undergoing the training. These might include mastery of specific software applications, detailed knowledge of company policies and procedures, or enhanced customer service skills.

Step 3 Recognize desired outcomes.

  • If possible, note the benefits of achieving these goals. You might note, "Once these new employees are trained we will have X number more hours of production each week, which should increase our overall profits by X%."

Developing Content

Step 1 Plan necessary steps.

  • Create a training topic outline. When conducting training on productivity software, for example, your topics may include creating files, formatting text, copying and pasting text and saving files. [4] X Research source
  • Break down the topics into specific titles. For example, formatting text might be divided up into 3 separate lessons: formatting fonts, paragraphs and tables.

Step 2 Design lessons.

  • Determine the best training modality. You might deliver the training via online files, video conferencing, in person instruction or audio files. Choose the method based on the objective. For example, software navigation may be best taught in person or via video, whereas delivering information about safety procedures may be adequately communicated through web-based files.
  • Engage participants to engage in the training activity. Puzzles, problem-solving exercises, questions, and writing activities are ways to keep trainees focused on tasks.
  • Participation can help the trainees more effectively absorb the material.
  • Accommodate a variety of learning styles. Watching video demonstrations, listening to audio and participating in hands-on exercises are ways to diversity activities.

Step 3 Outline the training structure.

  • For instance, explain that you will use one-on-one training for detail-oriented tasks. Some tasks are best learned by observing and actively doing them across a substantial period of time. In this case, one-on-one training delivered in the form of shadowing an experienced person might be best.
  • You could also note that you will train people in small groups for tasks requiring interaction. Teaching customer service skills, for example, may be done in small groups using role-play and problem-solving activities.
  • Utilize large group training for overviews. Delivery of information and overviews can be done in large groups. Break the large group into smaller groups, if necessary.

Step 4 Establish a time frame.

  • Establish a timeline for making all preparations. For example, you might hire a trainer a month in advance, book a meeting space 2 weeks in advance and inform all trainees of the training location and requirements several weeks in advance.

Step 5 Create a section for training prep.

  • Include a list of resources in the training plan. Trainers may need presentation tools, a computer or chalk. Trainees may need workbooks, training guides, video players or other equipment.
  • Review the list of resources prior to the training. Consider each step of the training to ensure that all equipment, materials, and tools are accessible and functional.

Including Specific Action Items

Step 1 Assess the training.

  • Have concrete assessment tools included in your training plan. For example, you could have trainees complete a quiz or test after each module.
  • Have trainers ask for feedback. In your training plan, indicate that trainers should observe the trainees attitudes. If the trainees seem lost or unmotivated, indicate that that trainers should address that.

Step 2 Offer alternatives.

  • For example, some groups may be less talkative than others. Instead of a large group question and answer session, have the the trainees work in pairs.
  • In your delivery of the material, you will likely use specific examples to illustrate your points. If the trainees do not seem to comprehend the material, make sure that there are alternate examples included in the training plan.

Step 3 Indicate the training participants.

  • Group the trainees by training type. For example, some members of the organization may need simple overviews, whereas others involved in the day-to-day completion of tasks may require in-depth training.

Step 4 Utilize your colleagues.

  • Other costs to consider include meeting space rental, trainer compensation and employee time.
  • You may also need to speak to your organization's facilities manager. They can help you reserve conference rooms or lecture facilities.
  • Let your IT department know that you might need some assistance during training, particularly if you are teaching online or using tools such as video conferencing.

Step 5 Choose qualified trainers.

  • Look for trainers who have experience using the methods that you want to offer. For example, if your training is to be conducted online, make sure to find someone who feels comfortable using that platform.
  • Communicate with your trainers. Allow them the opportunity to ask questions and make sure that they clearly understand the objectives and desired outcomes.

Your first draft doesn’t have to be perfect. Write down your initial thoughts, outline your ideas, and refine them over time. Starting with a large plan can be intimidating but working on it gradually can be a more manageable and effective approach.

The bottom line is that writing a business plan can feel overwhelming, but with the right approach and attention to detail, you can create a document that not only articulates your vision but actively works to make that vision a reality. CHESAPEAKE — The city’s nearly $2 billion proposed budget and capital improvement plan earmarks more than $100 million to fund a new public safety training academy in southern Chesapeake, along with general wage increases and additional funding for open space preservation.

The proposed operating budget for fiscal year 2025 is $1.6 billion, which represents a nearly 4% increase from the previous adopted budget . The total proposed budget is nearly $2 billion when including the city’s capital improvement plan.

City Manager Christopher Price and Budget Director Jonathan Hobbs presented the proposed spending plan to City Council members this week during a work session. Residents have the opportunity to weigh in on the budget throughout April during upcoming work sessions ahead of the regular council meetings. Council members are expected to adopt the budget in May, and it will span from July 1 to June 30, 2025.

The proposed budget doesn’t include any new fees, but homeowners can expect to see slightly higher tax bills because of a nearly 4.5% increase in real estate assessments citywide — still a slower rate of growth than the previous two years. In the city’s past two fiscal budgets, council reduced the real estate tax rate by 4 cents, making it $1.01 per $100 of valuation, to help offset steep increases in assessments. The proposed fiscal 2025 budget keeps the rate at $1.01.

About $390.5 million in real estate tax revenue is expected for fiscal 2025, which is 4.3% more than the fiscal 2024 budget. But a change in the proposed budget is the dedication of a half-cent of real estate tax to the city’s lockbox to help fund debt service on the new public safety training academy project. The half-cent dedication is expected to generate nearly $1.8 million, with all allocations to the city lockbox totaling $29 million in fiscal 2025.

The new training facility is a top priority in the capital improvement program and is expected to cost a total of $150 million. The fiscal 2025 budget earmarks $104.5 million for the project. The academy will be located on a portion of the Heritage Park site near Fire Station 7 and Saint Brides Road and will include multiple classrooms, housing for training administration, indoor shooting ranges, burn buildings, a confined space maze, a vehicle extrication training area, canine training area and other outdoor training facilities.

The proposed budget also includes more than $9 million for a 3.5% general wage increase for employees, some of whom may receive more as a market adjustment that keeps Chesapeake workers’ pay competitive and within the top three cities in Hampton Roads.

For the 2023 fiscal budget, council increased the city’s meal tax to 6%. Over the previous two fiscal years, actual revenue from the meal tax has grown 21.1% and 19.7%, respectively, with city leaders attributing the increases to inflation in the prices of groceries and prepared meals along with wage increases that enabled persistent consumer expenditures. For the proposed fiscal budget, restaurant food tax revenue is expected to be $45 million, a 14% increase from last year’s budget.

About $861 million will fund the city’s capital improvement plan through 2029, with $367.5 million allocated in 2025. City leaders said the capital budget is being heavily impacted by inflation, leading to some projects no longer being fully funded and in need of additional funding down the road. Besides the new training academy, other major priorities in the plan include about $8.7 million for facility maintenance — particularly the replacement of security technology — and $3.1 million in new funding for the acquisition and preservation of open space and agricultural land.

The budget also includes the addition of 20 new deputy sheriff and deputy sergeant positions for the sheriff’s office following the closure of the Hampton Roads Regional Jail . Additional state revenue will allow for four more behavioral health case workers for the sheriff’s office as well.

Per a council request, the cost of concealed carry permit fees were also cut in half and now cost $25.

Being an SMB isn’t easy. It’s often tough to respond to the latest cybersecurity threats at scale due to resource constraints and knowledge gaps. But make no mistake, guarding your company’s data is imperative, not only for protecting your business but also your customers.

Below, we’ve listed the seven most common security mistakes SMBs make and the best ways to address each.

1.) Weak Password Practices

Yes, this is still an issue in 2024. We would like to note that we totally understand the issues we all face with the sheer number of passwords we manage between work and our personal lives. For many, there is nothing worse than forgetting a password and having to go through confusing password retrieval processes to get back to work. However, we’re here to tell you that getting hacked is far worse than the inconvenience of waiting for that retrieval email.

According to LastPass, 81% of breaches are due to weak passwords, and while the retrieval process can be excruciating, it won’t lead to your company’s or your customer’s data being stolen. So, here are a few ways to improve your password to stop hackers in their tracks:

  • Keep your password secret. Tell NO ONE.
  • Use a different password for every login.
  • Password length is better than complexity… but make them complex, too.
  • Use multi-factor authentication (more on that later).

And when it comes to storing passwords, the days of keeping a log in our desk drawer are long over. Secure password management tools are designed to enhance online security by providing a centralized and encrypted solution for storing and managing complex passwords. Effective password management tools also often include features such as password strength analysis, two-factor authentication support, and secure password sharing options, contributing to a comprehensive approach to safeguarding digital identities.

2.) Failing to Keep Software Up to Date

Hackers are always on the lookout to exploit weaknesses in systems. And since humans design these systems, that means they are inherently imperfect. For this reason, software is always going through updates to address security concerns as they arise. Every time you wait to update your software, you’re leaving you and your customers at risk to yesterday’s security hazards.

You should always ensure your software is up to date to help prevent your company from becoming an open target. Closely monitor your applications and schedule time to check for the latest updates. That few minutes can be the difference between keeping your data safe or leaving yourself open to a cyberattack.

3.) Gaps in Employee Training and Awareness

Phishing scams are not highly technical in nature – they rely on human trust and lack of awareness to breach our cybersecurity efforts. This is the very reason why phishing scams have become the most common form of cybercrime in the world, leading to stolen credentials that give hackers free-range access to your data systems.

It’s vital that your employees be able to identify some of the telltale signs of a phishing scam. These include:

  • Checking to see if the email is sent from a public address. A legitimate company will likely not send an email using “gmail.com” as an address.
  • Verifying the spelling of the address. Many phishers try to trick your eye into believing that an address is legitimate by using tricky spelling. If you ever get an email from “Cicso.com,” we promise you that’s not us!
  • Is the email written well? A vast number of phishing emails originate from outside the U.S. Most hackers are not going to go through all the trouble to learn the nuances of American English before they start their life of cybercrime. If an email is poorly written, that’s a good indication you may be reading a phishing email.
  • Looking out for unusual links and attachments that are designed to capture credentials.
  • Is the email unusually urgent or pushy? Many phishing emails try to exploit employees’ good nature or desire to do a good job by assuming the role of a company leader and demanding they provide information they urgently need.

4.) Not Having an Incident Response Plan

We’ve talked a lot about ways to defend against a cyberattack, but what about after a cyberattack has occurred? It’s crucial that SMBs have a way to address cyberattacks if they occur, not only to reduce the damage caused but also to learn from mistakes and take corrective measures.

Your incident response plan should be a written document that goes over all the ways to address a cyberattack before, during, and after an event. It should outline the roles and responsibilities of members who should take the lead during a crisis, provide training for employees at all levels, and detail the steps each person should take.

This document should be reviewed throughout the company regularly and continually improved upon as new threats emerge.

5.) Neglecting to Use Multi-Factor Authentication

Sure, multi-factor authentication (MFA) can be a hassle when you need to login in a hurry, but as we stated earlier, a cyberbreach will have a far more negative impact on your business than the few minutes of productivity you lose. MFA adds an extra layer of security to your data and is very easy to set up. Most cybersecurity tools on the market have some form of MFA, so there’s really no reason to go without it. It’s especially important in today’s multi-device workplace, where employees have access to company data from work, home, or wherever they might be.

Which leads us to…

6.) Ignoring Mobile Security

Remote work continues to grow year after year. As of this 2024, over one-third of workers in the U.S. who are able to work remotely do so, while 41% work a hybrid model . As remote work continues to become the norm, more and more employees will rely on mobile phones for their day-to-day work needs.

That makes mobile security more important than ever since employees can now literally take vital company data with them on the go, outside the confines of the office. SMBs can protect mobile devices in several ways:

  • Require employees to password-protect their mobile devices.
  • Encrypt data just in case these devices are compromised.
  • Install specialized security apps to further protect information from hackers looking to access them on public networks.
  • Make sure employees have a way to quickly and easily report lost or stolen equipment.
